Digital Flow State may collect information when you use the website, submit a form, communicate with us, or use a client or prospect portal.

Digital Flow State uses contact forms and business and digital-operations assessment forms. Submissions may be stored in the website’s form system and may notify Digital Flow State by email. Some forms may send an automated acknowledgment to the visitor. Assessment submissions do not automatically create a lead or client record unless an approved workflow enables that processing.
Brevo is currently used for SMTP and transactional email delivery.

- Unconverted assessments are generally retained for up to 24 months.
- Unconverted leads are generally retained for up to 24 months after the last interaction.
- Active-client records are retained for the engagement and as operationally required.
- Financial and contractual records are retained as legally, financially, or contractually required.
- Nonessential former-client notes are ordinarily reviewed after approximately three years.
- Spam is removed when identified or through routine system processing.
- Google Analytics 4 event and user data are configured for 14 months.
- Server and security logs controlled by Digital Flow State are generally retained for 90-180 days unless needed longer for security, fraud prevention, disputes, technical, or operational reasons.
- Routine backups controlled by Digital Flow State generally follow a 30-90-day retention objective.
Retention may vary when information is needed for legal obligations, financial or contractual requirements, security and fraud prevention, disputes, technical or operational needs, backups, provider-controlled systems, or information outside Digital Flow State’s direct control.
Provider-controlled log, backup, and system-retention periods may be governed by the applicable provider’s own systems, settings, or terms.
9. Data Security
Digital Flow State uses HTTPS, WordPress account controls, form protections, anti-spam measures, security and performance services, administrative access controls, and backup practices to support website security. No website or online service can be guaranteed absolutely secure.
